Job Summary:
The Construction Administrator is responsible for providing administrative support to construction projects, including document management, communication facilitation, and coordination of project activities.

Essential Job Functions:

  • Organize and maintain project documentation, project files, establish version control of documents, including permits, drawings, and correspondence.
  • Assist in drafting and reviewing contracts as needed, including subcontracts, service agreements, and purchase orders.
  • Assist with reviewing all contractual liabilities, legalities, insurance, and risk allocation.
  • Support the project start-up and close-out processes.
  • Coordinate project logistics and maintain communication channels among project stakeholders.
  • Perform primary review of any vendor-initiated modifications purchase orders and agreements.
  • Track revisions, updates, and approvals for agreements, and draft responses as needed.
  • Issue and maintain all purchase orders agreements. Ensure agreements are fully executed and received and logged/saved appropriately.
  • Review and distribute subcontractor invoices to PM or VP.
  • Track and maintain log of invoices for PM or VP.
  • Review and track subcontractor lien releases as they relate to the monthly invoices
  • Review and track all insurance requirements and documentation.
  • Schedule meetings, site visits, and inspections.
  • Work with project managers and vendors/subcontractors to schedule returns and verify credits received for packages and subcontracts.
  • Run daily, weekly and monthly reports and sort and process various project documents.
  • Keep abreast of industry trends, new products, and market conditions.
  • Perform other duties as assigned.

Education:

  • High School Diploma or GED required. Bachelor’s Degree in a related field preferred.


Experience:

  • Minimum of 3+ years in a similar role within the construction industry required.
  • Multi-Family construction experience required.
  • Experience working with Sage Intacct preferred.
  • Experience working with Procore Management Software required.
  • Experience working with construction estimating software a huge plus.


Physical Demands:

The employee is occasionally required to sit; stand for up to 8 hours; kneel, crouch or crawl. The employee may be required to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

  • Must be able to reach, grasp and operate all buttons and controls.
  • Must be able to communicate well with coworkers and supervisors.
  • Regularly required to communicate verbally and understand conversation.
  • May occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this position include color acuity, close vision, distance vision, and the ability to adjust focus.
  • The noise level in the work environment is typically high.

 

Work environment:

  • Office and showroom setting requires regular use of computers, meeting with clients, contractors, and colleagues.
  • Employees will have exposure to warehouse with loud noises and machinery
